How to Organise and Declutter Your Office

If your office has slowly turned into a graveyard for old cables, half-used notebooks and “important” papers you haven’t looked at in years, you’re not alone. 

Office clutter sneaks up on the best of us. One minute you’re putting something down “just for now,” and the next minute you can’t find a pen. The good news is, decluttering and organising your office doesn’t have to be overwhelming or boring. With a bit of intention and maybe a coffee or two, you can turn your workspace into somewhere that actually helps you focus, feel calm, and get stuff done.

Let’s break it down into three manageable steps, decluttering your office, organising what’s left and making the most of your space.

Decluttering Your Office

Decluttering is the not-so-glamorous but absolutely essential first step. There’s no point organising piles of things you don’t need. Start with a clear goal, before you touch anything. Ask yourself how you want your office to feel. Calm? Minimal? Creative? Productive? Having a vision makes it easier to let go of stuff that doesn’t belong in that picture. 

To begin with you’ll need to empty before you organise. This might feel extreme, but it works. Start with one area at a time, your desk, a drawer, a shelf. Take everything out and put it on a clear surface. Seeing it all laid out is often the reality check you need.

Help yourself out, use the Keep, Donate and Bin or recycle method. Keep items you regularly or truly need. Donate or recycle the things that still have life in them but don’t belong in your office. Throw out anything that is broken, outdated, or useless items, you’ll have to be honest with yourself on this one. If you haven’t used something in the last year and it doesn’t serve a clear purpose, it’s probably safe to let it go.

Once you’ve done the above, it’s time to tackle the paper clutter. Paper is one of the biggest office clutter culprits. Old invoices, notes from meetings long gone, manuals you could simply google, get rid of these. Shred anything sensitive, recycle the rest, and only keep documents you genuinely need. A final thought, be kind to yourself, don’t declutter all at once. Trying to do everything in one marathon session can lead to burnout. Declutter in short, focused bursts. 30 to 60 minutes at a time is perfect. You’ll make steady progress without feeling overwhelmed.

How to Organise Your Office

Once you’ve decluttered, organising becomes much easier, and more satisfying. It’s time to designate zones. Think of your office as having zones based on what you do.

  • A work zone – Desk, computer, notebook
  • A storage zone – Drawers, cabinets, shelves
  • A supply zone – Stationery and tech accessories
  • A reference zone – Books, folders and documents

When everything has a home, it’s easier to keep things tidy long-term.

Keep your daily-use items within arm’s reach. Things like pens, planners, headphones and chargers should be easily accessible, without having to stand up or go digging through drawers. Less used items can live further away. 

Following on from this, think about organising to fit your needs. Drawer dividers, desk trays, file holders, and cable organisers can be lifesavers. Only if you don’t overdo it. Choose simple organisers that suit your habits. If you tend to toss things into drawers, open trays might work better for you than tiny compartments.

Label your items when it makes sense to do so. Labels aren’t just for the super-organised, they genuinely help. Label folders, storage boxes, and drawers so you know exactly where things belong and where to put them back. After labelling you can move on to taming your tech. Cables and tech accessories can get out of hand fast. Use cable ties, clips or small boxes to keep cords from tangling. Keep only the cables you actually use, any mystery cables can go.

Making the Most of Your Office Space

No matter how big or small your office is, there’s usually untapped potential hiding in plain sight. Think vertically, if there is limited floor space, go up. Wall-mounted shelves, pegboard or tall bookcases can store supplies and books without cluttering your desk. Vertical storage keeps essentials accessible while freeing valuable workspace.

Choose furniture that works harder. Multi-furniture is your best friend, think desks with built-in storage, filing cabinets that double as side tables, or shelves that also display decor. Every piece should earn its place. Remember to keep your desk surface clear, a clutter-free desk helps your brain focus. Aim to keep only the essentials on your desktop, your computer, a notebook, maybe a plant or two. Everything else should have a designated storage space.

Let light and layout work for you. If possible, position your desk near natural light. Natural light boosts mood and productivity. Make sure your layout allows you to move comfortably without bumping into things or feel like you’re boxed in.

Finally, add some personality, an organised office doesn’t have to feel sterile. Add a few personal touches like a framed photo, artwork or some plants. The key is balance, choose items that make you happy without overcrowding the space.

Keeping it Organised Long-Term

Decluttering and organising your office isn’t a one-time event, it’s a habit. Spend five minutes at the end of each workday resetting your space. Put things back where they belong, clear your desk, and you’ll start each day feeling more in control.

A tidy office won’t magically solve all your problems, but it will make work feel lighter, calmer and more productive. And honestly, that alone is worth the effort. Now grab that coffee, put on a good playlist and start reclaiming your office, one drawer at a time.
